How to Prepare a Jobsite Before Rental Equipment Arrives
A delivery truck can only do so much if the jobsite isn’t ready for it. Contractors across Long Island, Nassau County, Suffolk County and NYC lose real time every week because a gate was too narrow, the ground was too soft, or nobody checked for a low-hanging line overhead. If you want to prepare a jobsite for equipment delivery the right way, it comes down to a handful of details you can confirm before the truck ever leaves the yard.
At J.E.H Equipment Rentals, we deliver excavators, skid steers, aerial lifts and compaction equipment to active jobsites throughout the region every day. This guide walks through exactly what to check first.
Why Jobsite Preparation Matters Before Equipment Delivery
Every rental delivery is really two jobs happening at once: getting a heavy machine off a trailer safely and getting it working on your site without wasting the crew’s morning. When the site isn’t ready, both jobs get harder.
A blocked driveway means the driver has to reposition, sometimes more than once. Soft or uneven ground near the drop point can make unloading a track loader or mini excavator genuinely unsafe, not just inconvenient. And if nobody flagged an overhead utility line, a boom lift delivery can turn into a serious hazard in seconds.
None of this is complicated once you know what to look for. It just needs to happen before the delivery window, not during it.
How Much Access Does Rental Equipment Need for Delivery?
Access requirements depend on the machine, but most jobsite delays trace back to one of two things: gate width or driveway clearance.
Gate and Driveway Clearance
Standard delivery trailers need roughly 10 to 12 feet of clear width to pass through a gate or driveway entrance without scraping fencing, mailboxes, or parked vehicles. For larger equipment like a full-size excavator or a boom lift such as the JLG 450AJ, the trailer itself may run 40 feet or longer, so turning radius matters as much as width.
Walk the path from the street to the drop point yourself. Look for low fences, tight turns, parked cars, dumpsters, or landscaping that’s grown into the lane since the last delivery.
Overhead Clearance
Trees, power lines and low awnings are the most common overhead obstructions we run into. A loaded trailer carrying a boom lift or scissor lift needs more vertical clearance than an empty one, so measure with the equipment height in mind, not just the truck.

What Ground Conditions Are Best for Equipment Delivery?
Firm, level ground is the goal. Rain-softened soil, loose gravel on a slope, or freshly graded fill that hasn’t compacted yet can all cause problems when a heavy machine rolls off a ramp.
If your unloading area has been wet or disturbed recently, give it time to firm up, or ask about staging the equipment somewhere more stable and moving it into position once it’s on solid ground. This matters most for tracked equipment like mini excavators and track loaders, where the added weight concentrates on a smaller footprint.
How Do You Clear a Jobsite for Safe Equipment Unloading?
Before the delivery date, walk the site and remove anything that could sit in the unloading path: material stacks, trailers, dumpsters, vehicles, or debris from earlier phases of the project. A clear staging area also gives the delivery driver room to maneuver without guessing where the equipment should end up.
It helps to designate one specific unloading and staging zone rather than leaving it open-ended. That way, the driver, your crew and anyone else on site know exactly where the machine is headed.
Do You Need to Mark Underground Utilities Before Delivery?
If the equipment will be digging, trenching, or grading anywhere near the unloading point, underground utilities need to be marked first. This is not optional on most sites and it’s required by law in New York before any excavation work begins.
Call 811 or submit a request through USA811 at least a few business days ahead of your delivery. Utility marking is free and it protects your crew, your timeline and your budget from a hit line that could shut the whole job down.
Jobsite Delivery Checklist Before Equipment Arrives
- Confirm gate and driveway width can fit the delivery trailer
- Check overhead clearance for trees, wires and low structures
- Clear the unloading path of vehicles, debris and stored materials
- Designate a level, stable staging area for the machine
- Call 811 to mark underground utilities if digging is planned
- Confirm someone on site can meet the driver and point to the drop location
- Note any locked gates or access codes the driver will need

Preparing for Compact Equipment vs. Larger Machinery Deliveries
Long Island and NYC jobsites often deal with tighter access than a typical suburban lot, which is part of why compact equipment is so common here. A mini excavator rental or a mini skid steer rental can usually reach backyards, narrow side lots and interior courtyards that a full-size excavator simply can’t get to.
Even so, the same basic rules apply. A mini skid steer still needs a clear path and stable ground to unload safely and a residential gate that measures 42 inches wide will still stop a delivery trailer just as fast as it would on a commercial site. Confirming access ahead of time matters just as much for compact machines as it does for a track loader or a boom lift.
Equipment Delivery Across Long Island, Nassau County, Suffolk County and NYC
We coordinate delivery to active jobsites throughout Long Island, Nassau County, Suffolk County and NYC, including Queens, Brooklyn, Manhattan, the Bronx and Staten Island, along with Huntington, Farmingdale, Hauppauge, Garden City, Hempstead, Babylon and Islip. Site conditions vary a lot across these areas: a Manhattan job might deal with alley access and permitted street parking, while a Suffolk County site might deal with a long gravel driveway that needs to dry out after rain. Telling our team what your site looks like ahead of time lets us plan the right delivery approach and bring the right equipment for the access you actually have.
Frequently Asked Questions
How much space do I need for equipment delivery?
Most delivery trailers need at least 10 to 12 feet of clear width and enough straight-line distance to turn into the driveway or gate without a tight pivot. Larger equipment like boom lifts may need more room, depending on trailer length.
Can rental equipment be delivered to tight residential jobsites?
Yes. Compact equipment like a mini excavator or mini skid steer is built for exactly this kind of access, and our team can talk through your specific site before scheduling delivery.
Who is responsible for marking utility lines before delivery?
The property owner or contractor typically requests the utility mark-out by calling 811 before any digging begins. It’s a free service and it’s required by law in New York ahead of excavation work.
What happens if the jobsite isn't ready when equipment arrives?
The driver may need to reposition, wait for access to clear, or in some cases reschedule the delivery, which can push your project timeline back. A quick site walk-through beforehand avoids this.
